When to send each template and cadence

Dental patient communication works best on a consistent schedule. Here is what works:

Pro tip: Set these up in your practice management software or email platform to send automatically. Test each template with a colleague first.

Subject line rules

Email subject lines are your first impression. Follow these rules to improve open rates:

Text messages reach patients faster than email but have strict legal rules in the US. The FCC and TCPA require express written consent before sending any marketing SMS.

Source: TCPA (Telephone Consumer Protection Act) and FCC guidelines for SMS communications.

What to track in patient communications

Measure these metrics to improve your templates and timing over time:

Most practice management software tracks opens and clicks automatically if you send through their platform.

Questions people ask

Can I send SMS without consent?

Appointment reminders and transactional messages related to a scheduled appointment do not require prior consent. Marketing or promotional SMS requires express written consent. If in doubt, ask permission.

How often should I send recall emails?

Every 6 months for routine patients. If a patient does not book after the first email, send a second reminder 3-4 weeks later. After two emails, move to a phone call or wait for the next cycle.

Should I personalize every email?

Yes. Using the patient's first name and your dentist's name makes emails feel personal, not robotic. This tool lets you set these fields once and they appear in every template.

What is a good open rate for dental emails?

20-30% is typical. If your rate is lower, try shorter subject lines, adding the patient's first name, or sending at a different day or time. Tuesday and Wednesday midday usually work well.

How do I handle opt-outs?

Track which patients have opted out of SMS and email and remove them from your list. Respect these requests immediately. Most patients opt out because of frequency, not content, so consider sending fewer messages to higher-frequency groups.
