The formula

calls per month = calls per day x working days per month missed calls per month = calls per month x miss rate missed new customer calls = missed calls x new customer rate ncw bookings lost = missed new calls x booking rate when answered revenue lost per month = bookings lost x first-year customer value revenue lost per year = revenue lost per month x 12

The key assumption here is that 70% of callers who reach someone will book. When they do not reach you, we assume they convert at the same rate they would have if you answered. This is conservative. In reality, most missed calls result in no conversion at all because the caller moves to a competitor.

A worked example

A dental practice with these call metrics:

Calculation:

A practice missing 38% of calls is losing over $1.7 million in potential revenue per year. An AI receptionist that answers all calls and books 60% of new patient callers would save most of that loss and add significant revenue.

Why response time matters

Callers are impatient. Studies show:

An AI receptionist answers instantly and qualifies the call in real time. No hold music, no wait. If it is an appointment request, the caller books directly into your calendar. If it is a billing question, it transfers to the right person. If it is spam, it filters it.

The ROI is immediate: answering 90% of calls instead of 65% (your current rate) adds booking volume without any additional marketing spend.

How to reduce your miss rate today

The math is simple: if you are missing 30%+ of calls, an AI system pays for itself in the first month and adds profit every month after.

Questions people ask

What is a typical miss rate?

20-40% depending on how many staff you have. Solo practices and small teams often miss 40-50%. Larger offices with dedicated receptionists miss 10-20%. If you do not know your rate, record your calls for a week and count hangs-ups and voicemails.

How much of my missed calls are really new customers?

Track it for a week. Tag each voicemail as 'existing patient' or 'new caller'. Most practices find 30-50% are new. Use 40% as a default if you do not have data.

What is the ROI of an AI receptionist?

If you are losing $100k per year to missed calls and an AI system costs $300/month ($3,600 per year), your ROI is 28x. You recover the cost of the system and add $96k profit in year one.

Can an AI system really book appointments?

Yes. Modern AI receptionists can answer calls, understand patient needs, check availability and book directly into your calendar or practice management system. They handle 60-80% of inbound calls without human involvement.

Do I still need a receptionist if I use AI?

Yes, for complex issues and patient relationships. AI handles the volume and filters the inbound flow. Your receptionist focuses on existing patients, complex questions and building loyalty instead of answering phones constantly.
